How do I transfer files (Voice Files)?
You have two options:
Secure FTP - We will provide you secure and unique FTP ID and you can upload files into FTP server using FTP client (CoreFTP, Cute FTP, WS FTP, FileZilla (for WINDOWS, MAC, LINUX) etc). We will then download these files. Once we complete our work (transcription, editing and proofing) then we will upload files back to same server and inform you through email.
Toll Free (Dial-in Dictation) - You have option of dictating directly into our toll free dictation system using your phone. We will then receive these files directly through secure FTP.

How will I receive transcription from your side?
We will send you the transcripts through secure FTP and inform you through email.
3.
Which digital handheld recorder do you recommend and how much it costs?
We recommend digital recorders that are very easy to use and are competitively priced from Olympus (model: DS330), Sony, Panasonic, Voice IT, Uher (model: DH10), etc. Their prices range from approximately $120 to $350.
4.
How does Toll Free Dictation Service work?
Just call a telephone number (We will provide toll free number and simple instruction document) and dictate. Hang up the phone once you are done with dictation. The system will automatically send us the voice file through FTP site and we will send you the transcripts through same FTP and inform you through email.

Is there a limit to how many times a day I can call in ?
You may dictate as many time as you want from anywhere at any time using a touch-tone phone as well as cell phone.

Can I dictate with a digital recorder and transmit over the Internet on an ftp site that is secure, encrypted and under HIPAA regulations?
We provide separate secure FTP ID for each client and that's why only you will have access to allocated FTP site, which will be password protected and SSL enabled.
8.
Can I use your dictation System and FTP simultaneously?
Yes, you can use dictation system and FTP as per your comfort. We will keep separate record for both and bill you accordingly. Few of our clients are using our service in this manner.
9.
Do you provide training to our staff to get going with the FTP setup?
Yes, we do provide training to your staff on how to use FTP. 20 minutes is all that it takes for a person with minimal knowledge of computer.
10.
Do you keep all the completed files on a private FTP site for me only?
Yes (One client one FTP site).
11.
How long do you keep our dictation and charts on FTP?
We keep it for a month.
12.
What medical transcription quality measures you have in place?
We have very good team of experienced proof readers, editors and transcriptionists. After the dictations are transcribed by our transcriptionists, the Editors check for errors, omissions, formatting, etc., and Proof reader ensures expected quality of work before they send files back to client.

How do we pay you?
Payments can be done on a monthly basis through -
Wire transfers - Direct bank transfer. Bank may charge you a fee to wire funds
PayPal - In case of payment through www.paypal.com we charge additional 4% on invoice amount. You can use your Credit Cards or eCheck while making payment through www.paypal.com

How would we be billed?
The billing would be on a monthly basis. (65 Characters per line with spaces)

Can we know how much bill we are running?
On request from the client we can send a summary of billing statement for the current month.

What will be the format of transcript?
We send transcripts in Microsoft Word format, which you can edit and print at your end.

Can you transcribe files in our existing format?

Do you work with macros and templates for routine dictations? If so, do you charge per each line of the macro or only the modifications we dictate to them?
Yes we do work with macros and templates provided by our clients for everyday transcription requirements. We charge by each line of the macro / template.
5.
Do you perform special formatting if that is needed? What are the prices?
Yes, SPSOFT would do special formatting depending on the requirement. If the formatting is high on complexity then we charge additional, for any normal formatting requirements there is no additional charge.
